View “Staff with activities”

The view displays the activities assigned to each employee for all projects for a selected period. Use this view if you want to distribute staff working time between activities in order to optimally coordinate staff overload.

You create the view:

  • In an organization via the Organization window from the context menu of a package with Create other/ View.

The view

The bar colour and the figures can be used to quickly identify the workload of the individual employees. You can see bars and numbers for an employee as well as for each project. The display always refers to the set period.

Staff The first number shows the sum of the project availabilities for the set period. The last number indicates the basic availability of the employee for the set period.

Armin Röder is familiarized with two projects recAPPS and moPATIS assigned with 4 hours project availability each (rear number for projects) and for the set period with a basic availability of 8 hours (rear number for employees). The project availabilities are summed up and displayed as the front value for the employee. For this example, the total project availability is 8 hours. The bar is yellow, since basic availability and project availability coincide. On Thursday it is only assigned to one project. The project availability is below the basic availability and is marked accordingly by a green bar.

Project

The first figure indicates how many hours the employee is scheduled to work in the entire project for the set period. The second number indicates how many hours the employee is available for the project according to the basic availability. Combined with the color, you can see at a glance whether the employee is overplanned or underplanned, or whether project availability and basic availability coincide.

 

The employee is available for the projects with 4 hours each. In the project, he was assigned two activities that run simultaneously – with 4 hours each and on Tuesday with 3 and 4 hours. Thus he already exceeds the number of hours of 4 hours per day, which is why the bars are displayed in red.
  The employee is not scheduled for the period displayed.
  The employee is scheduled, but without a load. Reasons can be: Leave, public holiday, etc.
  The employee has not yet been sufficiently planned according to his or her basic availability. This means that he or she can be assigned to other activities.
  The employee is working at full capacity. The basic availability of the employee corresponds to the project availability.
  The employee is overloaded. The figures tell you how high the overload is. The front number shows the set availability of the project. The back number indicates the availability that is set for the employee.

To change the period displayed, use the buttons at the top of the view.

  Sets the period in question to the current week.
  With the arrow buttons you can change the period step by step.
Context menu commands

The following context menu commands are available for employees, projects, and activities:

User

Calendar Opens the employee calendar that you can view and edit.

General Availability Here you can edit the set availability.

Projects

Open Project Opens the project.

Adjust project availability Here you can adjust the project availability.

Activities

Edit activity Opens the editing dialog in write mode.

Activity| Create Enables the creation of further activities.

Create Enables the creation of further activities.

Views

Creates an Earned Value Analysis, User Story Board, Kanban Board, and Burn Up view for the selected activity.

Go to If a backlog has been specified for the activity, you can use this to jump to the relevant package. The package is opened in a separate window on the right side of the screen.

Share Allows you to send the activity by link, e-mail, or hyperlink.

Until version 5.1

With version 5.2 the display was revised. There were only colored bars and no display of project and basic availability.
