Dialog “General Availability”

In the General Availability dialog, the administrator determines how many hours an user can usually be scheduled. In the dialog, you can enter the period in which the user is generally available, his or her working time per day, and the days of the week on which he or she is to be deployed.

The dialog can be opened via the backstage menu:

  • in the Edit Organization Staff view with the context menu of an user by clicking the command General Availability
  • in the Staff Calendar view with the command General Availability

Availabilities

The period in which the employee is available is displayed here. If this is undefined, all entries apply without restriction. By clicking on the plus button, you can add another row if required and thus define different time quotas for different periods. To change a value, simply click in the corresponding cell under Working times.

Use the button to create additional availabilities, e.g. if employees are not permanently available for the project, but only work in the project during certain time periods.
When creating availabilities, make sure that they do not overlap in time. A warning triangle will inform you of this. The input or the correction of the period takes place (next to it) via the working times.
Deletes the marked availability, including working hours and daily working hours.

Working times

Specify the period in which the user is available for the project.

From Enter the start date. By default, the undefined is set here.

To Enter the end date. By default, the undefined is set here.

Available work per weekday When you create a new employee, the standard working time per day is set to 8 hours. If you are an administrator, you can easily adjust the working time. The value entered is automatically transferred to the project availability when the employee is included in the project. If an user is used in several projects, you must adjust his or her project availability accordingly.

Daily working times

Here you can break down the employee’s working time per weekday in detail. The values entered are automatically used for project availability when the employee is included in the project. If an employee is used in several projects, you must adjust his or her project availability accordingly.

Use the button if you want to split the working times within one day. A click on the plus creates further input fields below the input fields for the times. Click with the mouse in one of the fields and enter a time via the keyboard. Confirm the entry with the Enter key.
Deletes the entered times and replaces it with time.
If you have entered several times for one day, the additional times will be removed until only one line is left.
Adopts the entered times
If the daily working times are identical, enter the times for one day and click the button to apply them to the other days as well.
Hint
The general availability of the employee is set in relation to the project availabilities – which are entered – in the resource calculation. If the planned employee assignment in the projects exceeds its basic availability, this is displayed in the time recording and resource plans (marked in red).
